What we need from you

Onboarding works because it is a two-way process. Here is the honest list of what your team needs to provide — it is lighter than most people expect.

About 4 hours in week one

Split across the scope conversation, a team introduction, and a walkthrough of how you currently handle things. After week one it drops to a 30-minute weekly check-in.

System access

Read and write access to your PM software, shared inboxes, and phone routing at the permission level you are comfortable with. We will tell you the minimum needed for each function.

One decision-maker

A single named person on your side who can answer questions and approve escalation rules. Onboarding slows down most when nobody owns it internally.

Shadow Before Touch

No specialist communicates with a tenant until they have shadowed live work and demonstrated competence to their team leader.

Work transfers in stages, not all at once. Problems surface while volume is low and stakes are small.

During go-live week, a team leader reviews outbound tenant communication before it sends. Review tapers as accuracy proves out.

All access is role-based and revocable in minutes. Nothing is stored locally, and every action is logged in your system.

FAQ

Onboarding questions

What if we need to move faster than 10 days?

For urgent needs we can compress further using pre-vetted specialists already trained on your software. The shadow phase shortens but never disappears — we will not skip it.

Do we have to change our software?

No. We work inside AppFolio, Buildium, Propertyware, Yardi, Rent Manager, and others. If you engage our CRM service that is a separate, optional project that runs alongside your existing stack.

What happens if a specialist is not a good fit?

Tell your team leader and we replace them, at no cost and with no argument. The replacement inherits the documented knowledge base, so ramp-up is much faster the second time.

Will our tenants know the team is remote?

Your team works under your brand, in your tone, from your systems. Most agencies choose not to distinguish, and tenants rarely ask. That decision is entirely yours.

What does the weekly review actually cover?

Volume handled, SLA performance against agreed response times, escalations and how they were resolved, and anything your team flags as needing a decision from you.

Can we start with one service and add more later?

Most clients do exactly that. Adding a service to an existing engagement is much faster than the first onboarding — the systems, access, and context already exist.
